Credit Pooling

Last updated

Credit pooling lets your whole team draw from a single credit balance — the team owner's. No one needs to top up their own account just to score resumes. One balance, shared across everyone doing the hiring work.

Default behaviour: pooling is on automatically for every team member. Credits always come out of the owner's balance unless a member opts out.

How It Works

  1. A team owner creates a team and invites members.
  2. Any member uploads resumes to a shared job — the credits are deducted from the owner's balance, not the member's.
  3. Every scored resume appears in the owner's credit history so they always have a full audit trail.
  4. If the owner's balance runs low, all members see the same low-credit warning. If it hits zero, uploads pause for everyone until the owner tops up.

What the Owner Sees

  • The credit count in the top nav always shows their own balance — the pool total.
  • Settings → Billing shows a Team pool active badge and the full transaction history, including entries for resumes scored by members.

What Members See

  • The nav shows the owner's balance with a small pool indicator so members know they are drawing from shared credits.
  • Settings → Billing shows whose pool they are using and a toggle to opt out.

Opting Out of the Pool

Members who prefer to use their own credits can switch off pooling at any time.

  1. Go to Settings → Billing.
  2. Under Credit source, toggle Use team credit pool off.
  3. From that point, your uploads are charged to your own balance. The owner's balance is not affected.

You can switch back on at any time. The toggle only affects future uploads — it does not reattribute past transactions.

Frequently Asked Questions

What happens if the owner runs out of credits?

Uploads that would require more credits than the pool has will be blocked. Members see a clear message: "The team pool is out of credits. Ask your team owner to top up." Scoring already in progress completes normally.

Can the owner see which member used credits?

Yes. Every transaction in the owner's credit history shows the resume filename and job name. You can cross-reference that against the job's candidate list to see who uploaded it.

Does pooling apply to private jobs?

Yes — credits always come from the job creator's balance regardless of whether the job is shared or private. Pooling is about who pays, not who can see the job.

What if I am not part of a team?

Pooling only activates when you belong to a team. Solo users always pay from their own balance.

Can I set per-member credit limits?

Not currently. The owner's full balance is available to all members. Per-member caps are on the roadmap.

What happens to my credits if I leave the team?

Your personal credits stay with your account. Any credits the owner paid while you were pooling remain with the owner.
